Confidential Orders

In addition to the Default View for Carts/Reqs/Orders (All Stuff, Just My Stuff, or Just My Department) given to a user, Confidential Order access may also be granted to a user. High level types of orders may be created in Prendio and marked as Confidential if creating/viewing the details of these orders need to be limited to certain users. Confidential Order access may be granted to a user via the Admin role in the User Account Setup Window for each user:

 

When granted Confidential Order access, users have the ability to create and view Confidential Orders. A checkbox at the top of each cart created allows the user to indicate if the order needs to be Confidential.  When checked off, only other users with Confidential Order access will be able to view the order:

 

Users that are not granted Confidential Order access will not have this option when creating carts:

 


Below are some frequently asked questions regarding Confidential Orders and how this relates to Default View for Carts/Reqs/Orders:

If All Stuff is selected for a user and Confidential Order access is granted for a user

The user will be able to view all orders (created by themselves as well as their colleagues). The user will also be able to create Confidential Orders and view orders marked as Confidential by their colleagues.

 

If All Stuff is selected for a user and Confidential Order access is not granted for the user

The user will be able to view all orders, their own and their colleagues’, that are not marked as Confidential. The user will not be able to create or view Confidential Orders.

 

If Just My Stuff is selected for a user and Confidential Order access is granted for a user

The user will also be able to create Confidential Orders and view in the future, but they are unable to view any of their colleagues’ orders (marked Confidential or not). Other users that have All Stuff and Create/View Confidential Orders selected will be able to see the user's orders in Prendio.

 

 If Just My Stuff is selected for a user and Confidential Order access is not granted for the user

The user is limited to viewing their own orders. The user will not be able to view their colleagues’ orders (marked as Confidential or not). The user will not be able create Confidential Orders.

 

If Just My Department is selected for a user and Confidential Order access is granted for the user:

The user will also be able to create Confidential Orders and view in the future. The user will be able to view all orders created in the Department(s) the user is a member of; however, they will be unable to view any orders (marked Confidential or not) in other Departments. Other users that have All Stuff and Create/View Confidential Orders selected will be able to see the user's orders in Prendio.

 

If Just My Department is selected for a user and Confidential Order access is not granted for the user:

The user is limited to viewing orders created in Department(s) in which the user is a member of. The user will not be able to view their colleagues’ orders (marked as Confidential or not) in other Departments.  The user will not be able create Confidential Orders.

 


Other Notes

Carts/Reqs/Orders that have been submitted may be marked as Confidential only via the Buyer role.

Please also note that for any users with the Receiver or Accounts Payable roles, Confidential Orders access determines whether the user will be able to view the Scan Match in the Scan subtab of these roles.  A user must have Confidential Order access to view Scan Match and Deleted Scans:
