Migrating Your Payments to Prendio

Switching your payments to Prendio is simple, and we do most of the work. You already run your procurement in Prendio, so we're just moving the payment step over, your vendors already live in our system.

Getting your data out of your current platform is a quick export, you hand it to us, and we build and enroll your vendor list from there. This guide walks through what to expect, what we handle, and how the cutover works so you're never running two systems or paying twice.

Who does what

  • Export your vendor and payment data from your current platform (a quick, low-cost step).
  • Approve payments in Prendio the same way you approve everything else today.
  • Time the switch so you cancel your old platform before your next bill date.
  • Building and enrolling your vendor list from your export.
  • Setting up ACH, Virtual Card, and Check, and verifying banking details.
  • A dedicated payment resource with white-glove support for your first 60 days.
  • No per-user fees and no per-transaction fees on domestic ACH, Virtual Card, or Check.

        Before you start

        • Pick a cutover point, ideally around the end of a billing/accounting period, so payments aren't split across two systems.
        • Make sure the right person has access to export data and to cancel the old account (for BILL, that's typically a bank-authorized Admin).
        • Let your Prendio contact know your target go-live date so we can line up enrollment and your dedicated resource.

         

         

         


        If you use BILL

        1. Export your vendor and payment data from BILL as a CSV. This is free from inside BILL (the user needs “Sync with Accounting System” permission).
        2. Optional, grab your records. You can request BILL's historical document download (~$50) for copies of bill images and cashed checks. It's optional and mainly for your own records once the account closes.
        3. Send us the file. We build and enroll your vendor list from it. Most of your vendors already live in Prendio, so this is fast.
        4. Stop starting new payments in BILL. Once you're approved for Payments in Prendio, pay new invoices here.
        5. Let any pending BILL payments finish. BILL can only cancel a payment while it's still “Scheduled,” so let in-flight payments complete.
        6. Cancel BILL before your next bill date, so you're not charged another cycle. Export first, since access is limited once the account closes.

                    If you use another platform (Brex, Ramp, Melio, etc.)

                    1. Export your vendor/payee list and payment history as a CSV. Most platforms offer this.
                    2. Send us the file, and we build and enroll your vendor list from it.
                    3. Stop originating new payments in that system; pay new invoices in Prendio once you're approved.
                    4. Let any in-flight payments finish before you close the account.
                    5. Close or downgrade the old account per that provider's steps, after you've exported your records.

                     

                     

                     


                    During the cutover

                    The goal is a clean hand-off so you never pay a bill twice. Keep new payments in one place, once you're live in Prendio, originate new payments here, not in the old system. Prendio also reads your ERP's bill status, so a bill already marked paid can't be paid again, which protects you during the transition.

                     

                     

                     


                    After you're live

                    • Confirm your key vendors are enrolled and show an active payment method.
                    • Run your first payment batch with your dedicated resource on hand.
                    • Verify payments are syncing to your ERP (QuickBooks Online or NetSuite) as expected.

                     

                     

                     


                    Frequently Asked Questions

                    Do I have to re-enter all my vendors?

                    No. You export them once, and we build and enroll your vendor list for you. Since you already procure through Prendio, most vendors are already in the system.

                    What happens to payments already in progress?

                    Let them finish in your current platform. You start new payments in Prendio once you're live, so nothing is caught in between.

                    How long does it take?

                    It depends on your vendor count, but because your vendors already live in Prendio, migration is typically fast, and your dedicated resource drives it.

                    What if a supplier isn't enrolled yet when I need to pay them?

                    We'll prioritize your active suppliers first, and your dedicated resource will help make sure upcoming payments are covered.

                    Will I keep my payment history?

                    Your historical records stay with your old platform. Export them before you close the account (and, for BILL, the optional records download keeps copies of bill images and cashed checks).
