Reducing The Size Of Scanned PDF Packing Slips And Invoices

This document details the maximum size for PDF files in Scan Upload of the Receiver and Accounts Payable roles.  Suggestions are provided to reduce the size of a PDF document.

When uploading a Scanned PDF Packing Slip or Invoice into the Scan Upload window of Prendio for best performance, a maximum file size of 10 MB should be targeted.

*Please be aware that certain ERP systems may only accept a bundle maximum of 10MB, created during the AP Push.  If this is the case, a suggestion of 5MB is recommended as the maximum for any PDF files in Scan Upload.

In this example, the PDF file added to the queue is 11.7 MB, too big to upload:

 
 
 If users have access to an Adobe subscription, the PDF file may be compressed after opening the document:

*Please note that the steps to compress a PDF file in Adobe may vary depending on the version of the software.
 

If users do not have access to an Adobe subscription, the PDF file may be compressed via an external website. Some suggestions are listed below (When using a PDF compression program/site, please double check with your IT provider to make sure it is safe to use in your organization):

In the example below, PDF compressor: Compress PDFs online for free is used:

Add the PDF file:

 

Select the new size to reduce to and confirm (Compress):

Once processed, Download and Save.  It is recommended to save the compressed file as a copy with an alternate name so the original file will not be altered. In the example below, the compressed copy is named Invoice for Test PO-compressed:

 

 

The file is now small enough for Scan Upload (Reduced to 3.2 MB in the example below):
