Preferred Suppliers, Punchouts, and Information Needed

Users can place an order with any supplier in Prendio for merchandise or services. Prendio partners with several preferred suppliers and suppliers that offer punchout capabilities to offer clients a competitive and streamlined purchasing process.

A preferred supplier is a vendor that our platform has chosen to establish a long-term relationship with due to their reliability, quality of products or services, competitive pricing, and alignment with the company's strategic goals. Clients may benefit from streamlined procurement processes and favorable discounts from these preferred partnerships.

A punchout supplier is a vendor that provides an online catalog integrated with our platform. This allows requestors to browse and order products directly from the supplier's website while maintaining Prendio’s purchasing controls and processes. The punchout system ensures that the items added to the cart within the supplier’s portal is captured within Prendio, streamlining the purchasing process and improving efficiency.

Punchouts are an automated method to place an order in Prendio. The process to establish a punchout for a company will be different depending on the supplier. Certain punchouts are available immediately while other punchouts may require additional information from a company.

If a punchout is available for a supplier, users can select the punchout to create a cart. Punchouts can be located at the top of the dashboard in the company's top 5 suppliers:

If a supplier does not offer a punchout, users can create a Manual Cart and complete the details. To create a manual cart, users can locate + Create Cart:

If generating a manual cart, users can identify if a connected supplier is used for the order. Connected suppliers means that a Contract and Terms exist between the Company and that Supplier in Prendio. Connected suppliers are indicated with a circled checkmark to the left of the supplier name:

If the Supplier is listed in the search but does not display the Circled Checkmark, a Buyer will contact the Supplier and negotiate the Contract and Terms and when complete, Connect your Company to this Supplier:

(New Supplier - no account established) displays after the supplier is selected because an account has yet to be established between the supplier and company:

If the Supplier is not listed in the search, type out the complete Supplier Name and add the supplier's website or email address:

If available, attach the W-9 for the supplier:

Once complete select Request Supplier:

If the supplier’s W-9 is not available, add the supplier's website or email address and select Request Supplier. After the cart is submitted, a user with the Buyer role can reach out to the supplier to obtain the W-9 and remit address for the supplier. The Buyer will also negotiate the Contract and Terms and when complete, Connect your Company to this Supplier. Please note that until the W-9 is obtained, the order or any urgent invoices for the supplier cannot be processed.

Some suppliers have different requirements during account set up. Below are a few special instructions and considerations:

Lease Agreement: Often required to verify the delivery address type. Certain items cannot be shipped to residential addresses and the lease is essential for address verification, especially since orders may begin before the account is fully set up. Only first and signatory pages are needed.
W-9 Form: Required to provide a valid Tax Identification Number (TIN) for IRS reporting purposes.

Sigma-Aldrich - Requires a detailed usage statement on how your company will use Millipore Sigma products. A general statement such as "lab use" or "research and development" will not be accepted.

Eppendorf - Requires a bank statement in order to move forward with approval of net terms.

Waters Technologies - Requires a PO as well as a credit application for account set up.

Cole-Parmer - Requires your first order to be prepay. Following that, you will need to place an order of $5,000 to qualify for net terms.

Becton Dickinson - Requires every line of the application to be completed. A few of the required lines are below:

1. Has the company ever filed for bankruptcy and if so when

2. ability to transmit data via EDI (capable, not capable, working on it)

3. Estimated spend in 6 months, and estimated yearly spend

4. Please note, the average turnaround time for account creation is 1-2 months with this supplier.

Please note that the estimated time to establish a manual or punchout account is 1-2 weeks, but times may vary by supplier and may take longer.
